FAQ

Frequently Asked Questions

What’s the accomodation situation / Does my badge include any accomodation?

As this is a camping convention, so long as you order a badge (or volunteer!), you’ll be allowed to bring a tent, car, and/or caravan to setup and sleep in on the campsite venue.
If you don’t feel comfortable camping, or can’t do camping due to medical issues, there are hotels and AirBnB’s around the local area of Timsbury (village within greater Bath area), as well as in the nearby city of Bath (30 min drive / 1.5 hr away via public transport)

Will there be any food or drink provided?

No, we’re not planning on officially providing any food or drink at the convention, we encourage you to bring your own food and cook it yourself at the campsite, if you don’t have a stove you can ask a fellow attendee to borrow their stove.
There are also food options in the surrounding area, both small restaurants as well as convenience stores / supermarkets, though they may be a fair walk away

Can I bring/drink alcohol?

Yes! You’re welcome to bring your own alcohol, or share alcohol with your friends. There may also be attendee-ran room parties where you can get alcoholic and soft drinks from and hang out 🙂

Can I bring my children with me?

No, children are not permitted at the event, as this is an over 18 event which may have adult themes such as vulgar language, and alcohol brought by attendees which wouldn’t be appropriately secure against children due to the nature of camping. Please leave your children at home or at an appropriate childcare facility.

I have a disability which requires me to bring a carer with me, are there any discounts or free badges for carers?

We can provide discounted badges for carers upon request, however you’ll need to contact us in advance, as this will be handled on a case by case basis.
Please be advised due to the nature of the event being on a campsite, that the event is unfortunately not very wheelchair friendly. However, our staff and some attendees may be able to offer some assistance to disabled individuals where we’re able to, please don’t be afraid to reach out to our staff if you require any help!

Safety Concerns – Someone at the convention has hurt/harassed me, or I’m concerned someone problematic/dangerous may attend the convention, what do I do?

We care about our attendees safety and take all safety reports seriously. If you believe a problematic/dangerous person may attend the convention, someone at the convention has hurt or harassed you, or someone in our online communities is causing problems for you, please contact our safety team so that we can investigate and take appropriate action to keep you, our attendees, and our staff safe.

If a safety incident occurs while you’re at the convention, please find one of our staff members at the con and inform them about it, they’ll bring you to one of our safety/welfare staff who can take an incident report from you, and will ensure that you’re safe from whoever has harmed you.

In cases of a major incident, such as sexual harassment/assault, our staff will escort the problematic person away from the venue and ensure that they don’t come back – we’re also happy to help you with a police report if you decide to go that route.

If an incident occurs outside of the convention, or during the con and you’re unable to communicate the incident in person for any reason, then please send your safety report to our safety email safety@campequestria.uk – or DM one of our safety staff (e.g. the head of safety/welfare StoneMane (username: stonemane)) in our discord server. Note that during the convention days, it’s best to DM our safety staff rather than e-mail if you’re unable to communicate in person, as the e-mail may not be checked frequently during the convention days.

Make sure to include as much detail about the incident(s) that the person in question has caused, and any evidence that you have, such as screenshots, photos, or videos. If the person has caused harm to multiple people, please have all affected parties contact us separately, this will help us to verify the allegations.

Who operates the event?

The event is legally operated by Brony Kindness Network (Kindness Network Ltd.) – a non-profit company registered in the United Kingdom, note that we are NOT a registered charity and thus are not tax exempt, any purchases or donations are unlikely to be claimable on your taxes.
Please see our Staff page for information about the individual staff members who operate the event

What if I have a medical issue during the convention?

Camp Equestria will have First Aid trained staff members on hand throughout the event to assist with ensuring the wellbeing of all our attendees. The First Aid Team includes staff working fulltime within the NHS with experience in Frontline Pre-Hospital Care and Emergency Care.

If you require help during the event, please approach any member of staff for directions, or visit our First Aid Tent which will be clearly identifiable. In the event of a Serious Medical Emergency, shout for help or send someone to find help, whilst calling 999.

Please ensure you bring sufficient prescription medications if you require them to last the duration of the camp. Consider bringing a basic First Aid Kit and basic medications such as Paracetamol, Ibuprofen, Immodium, dioralyte, and knowing when/how to use them.

Please note that our first aiders will not be able to provide you with pain relief during the event, please ensure you have your own if you think that you will require them.

I’m new to camping, what should I bring with me?

Here’s a list of things you MUST, SHOULD, and COULD bring

NOTE: If you have trouble setting up your tent or have any other camping/outdoors related issues, please talk to one of our staff members or nearby attendees and they may be able to help you. The most experienced point of contact for all things camping/outdoors is Evo (EquineVincitOmnia), they’ll be around the convention making sure everyone has their tent setup, and offering assistance and advice for outdoors activities, they’ll also be on our public discord server to answer camping/outdoor-related questions prior to the con

MUST – the essentials – you must bring all of these for a safe camping experience:

  • sleeping bag
  • pillow (those U shaped travel pillows work too)
  • tent (or stay in a friends tent if they have space)
  • flashlight (outside of rare exceptions, even a £1 flashlight is brighter than most phone flashlights)
    • a headlamp may be helpful for handsfree lighting 🙂
  • some bottled water or preferred drinks
  • battery bank + charging cables + plugs for your devices (you may not always have access to plugs!)
  • any medications you may need – remember to bring a few days extra incase of travel disruption / unforeseen circumstances
  • a coat – incase of rain + keep you warm – also useful as a mat to sit on

SHOULD – we highly recommend you bring these items, they’re not critically important, but they’ll improve your experience a lot:

  • small air mattress or some other padded mattress equivalent such as a yoga mat – very strongly recommended – sleeping directly on the ground even in a sleeping bag is not a good idea outside of emergencies
  • lantern for lighting inside your tent
  • swiss army knife or individual knife and utensils – for opening and preparing food
  • cooking equipment (stove, butane/propane for stove + spare cannister, frying pan, pot, kettle)
  • towels – for showering
  • sunscreen – while it’s probably not going to be very sunny during the con, it’s important to wear sunscreen for extended time outdoors
  • any personal hygiene products (shampoo, conditioner, body wash, deoderant, toothbrush+paste, shaver if needed)
  • extra socks incase your feet get wet
  • food – if you plan on eating at the campsite, remember: there will not be any official food services at the con, and restaurants may be 30+ min walk away

COULD – you’ll be fine if you don’t bring any of these items, but you should consider bringing them if you have the space and they’d be useful to you:

  • first aid kit – or at least some plasters incase you cut yourself
  • wellington boots or other water/mudproof shoes – it may get muddy/wet
  • an umbrella – incase of rain
  • a blanket – helpful as extra layer on top of sleeping bag if it’s too cold, on it’s own if sleeping bag is too hot
  • shower sandals (or crocs) – protect yourself from athletes foot in the showers, also helpful to protect your feet if you swim in any nearby lakes/rivers
  • earplugs – to help you sleep when it’s noisy, tents aren’t very sound insulated, and protect your ears during the concert (some may be provided – but you can of course bring better quality ones yourself!)
  • chairs – ideally foldable light camping chairs – as it’s an outdoor event, there’s likely very minimal seating provided by the con if at all
